Zoho One guide

Zoho One brings together more than 45 business apps — sales, accounting, marketing, HR, projects — under a single license and a single login. It’s your company’s operating system: all your data flows between apps with no double entry.

Getting started

  1. Create your Zoho One account and set up your organization profile (name, logo, time zone, CAD currency).
  2. Add your users and define their roles from the centralized admin panel.
  3. Choose the first apps to roll out based on your priority: sales (CRM), finance (Books) or customer service (Desk).
  4. Turn on multi-factor authentication to secure access for the whole team.
  5. Roll out gradually — one app mastered beats ten barely touched.

Key features

  • A single admin panel to manage users, apps and security.
  • Single sign-on (SSO) to every app.
  • Integrated data flows between CRM, invoicing, inventory and analytics.
  • Mobile apps to run your business on the go.

Tips from our specialists

  • Map your business processes before turning on apps: the rollout order makes all the difference.
  • Appoint an internal owner for each app to drive adoption.
  • Take advantage of the all-inclusive license: several tools you’d pay for elsewhere (e-signature, surveys, HR) are already included.

The three mistakes we fix most often

  • Turning everything on day one. Zoho One gives access to dozens of applications. Opening them all at once guarantees none gets adopted. Pick two or three, make them live, then move on.
  • No owner per application. An app without someone accountable decays within months. Every tool you switch on needs a person who answers for it.
  • An improvised user directory. Departments, roles and permissions are defined at the start. Restoring order later, with data already spread around, costs far more.

The order we usually roll out

There is no universal sequence, but one logic keeps coming back because it produces a visible result quickly.

  1. The CRM, because that is where the money comes in and where buy-in is won;
  2. Billing, because double entry between sales and accounting is the first irritant to disappear;
  3. Documents and signature, which remove the back-and-forth;
  4. Projects or service desk, depending on whether you deliver engagements or support;
  5. Analytics, once the data is worth looking at.

Frequently asked questions

Does Zoho One pay off for a small team?

The calculation adds up what you already pay in separate subscriptions, then adds the time lost moving information between those tools. It is usually the second part that decides it.

Do we need a licence for every employee?

Zoho One is priced per employee, which means counting properly who needs access. We validate that before any proposal.

Can we keep some of our current tools?

Yes. The goal is not to replace everything, it is to remove the breaks in the chain. A tool that does its job well and integrates can stay.
