Zoho optimization for Omnikin Solutions

Client: Omnikin
Nuagix’s role: Deployment lead

Omnikin is internationally recognized for developing, manufacturing and distributing equipment for Kin-Ball, a fast-growing cooperative sport, especially popular in schools and institutions. The project involved implementing Zoho One to centralize, optimize and structure all of its operations around contact management, events, leads, marketing and sales follow-up.

Challenges before Zoho One

Omnikin relied on several separate tools (HubSpot, Mailchimp, Unbounce, Zapier and other satellite tools), which led to fragmented and duplicated data, fragile automations, difficulty connecting events, leads and follow-ups, and too much time spent on technical management instead of the organization’s mission.

Target vision with Zoho One

  • A single, centralized database.
  • End-to-end management of lead-generating events.
  • Structured tracking of schools, organizations and partners.
  • Native automation of communications and follow-ups.
  • Clear dashboards on impact and growth.
  • A drastic reduction in third-party tools and indirect costs.
  • More than 25% less time spent on technical tool management, freeing up time for the organization’s mission.

Deliverables

Zoho CRM configured (contacts, organizations, events, leads), dedicated pipelines for lead-generating events, Zoho Campaigns, Zoho Forms, Zoho Analytics, plus architecture documentation, user procedures and user training. The rollout spanned 10 to 12 weeks.

Conclusion

With Zoho One and Nuagix’s guidance, Omnikin now has a robust, scalable and cohesive platform that can sustainably support its mission of bringing Kin-Ball to schools and organizations, while strengthening its operational performance.

Case study: implementing Zoho for Centre Marie-Ève

Centre Marie-Ève supports women during pregnancy and the first years after birth. To support its activities and service points, the organization needed to better structure its data, simplify workshop management and get faster access to statistics.

The challenge

  • Scattered information and sector-based segmentation that was hard to maintain.
  • Workshop management requiring lots of checks (attendance, allergies, reasons for absence) and follow-up.
  • Some data synced from external tools, with a risk of re-entry.
  • Reports and statistics that took longer to produce, making them less useful for decision-making.
  • A need for a security and governance framework for access and changes.

The solution

  • Implementation and customization of Zoho CRM as the central system.
  • A Workshops module and simple forms to make field data entry easier.
  • Automations and functions to calculate participants and attendance.
  • Dashboards and reports in Zoho Analytics for tracking and reviews.
  • Secured access (profiles, roles) and rollout of Zoho Vault.

The results

  • A centralized, better-structured database.
  • Smoother workshop management with less manual entry.
  • More reliable segmentation by sector and access profile.
  • Faster access to statistics through dashboards, with more than 25% less time spent producing reports.
  • A security and governance framework that makes the system easier to evolve.

Key takeaways for the organization

By consolidating its operations in Zoho, Centre Marie-Ève gains clarity, consistency and tracking capacity. The project emphasized adoption (simple forms) as much as robustness (data, permissions, reports).
