Zoho Writer guide

Zoho Writer is the suite’s cloud-based word processor: collaborative documents, business templates and data merge. Its lesser-known strength: automatically generating personalized contracts and letters from your CRM data, then sending them out for signature.

Getting started

  1. Create a blank document or choose a template.
  2. Invite your colleagues to collaborate in real time, with comments and change tracking.
  3. Create reusable business templates (contracts, quotes, letters).
  4. Explore document merge to automatically pull in data from your CRM or a file.
  5. Connect Zoho Sign to send your merged documents straight out for signature.

Key features

  • Real-time collaboration with comments and revisions.
  • Document merge (mail merge) with CRM, Forms and Sheet.
  • Automated document generation.
  • Word compatibility (.docx import/export).
  • Zia for assisted writing and proofreading.

Tips from our specialists

  • The Writer + CRM + Sign trio eliminates retyping contracts — one of the most dramatic time savers in the suite.
  • Standardize your company templates in a shared team folder.
  • Always work in the cloud rather than with attachments: one version, always up to date.

The three mistakes we fix most often

  • Writing every document by hand. A contract, a proposal or a letter that always repeats the same data should be generated from the customer record, not retyped.
  • Unlocked templates. When anyone can edit the clauses, versions multiply and nobody knows which one governs. Locked sections solve that.
  • Handling signatures elsewhere. Print, sign, scan: three steps that Zoho Sign replaces with a link.

What Zoho Writer changes once it is connected to the rest of Zoho One

The document stops being an isolated file and becomes the output of a process.

  • Merge pulls data straight from Zoho CRM: name, address, amounts, dates;
  • The document goes out for signature through Zoho Sign once approved;
  • The final version is filed in Zoho WorkDrive, with its history;
  • Reviews happen together, with comments and tracked changes.

Frequently asked questions

Is it compatible with Word?

Yes, both importing and exporting. Complex formatting sometimes needs an adjustment, but everyday use goes through cleanly.

Can we generate a hundred documents at once?

Yes, by merging from a list. Annual renewals and member mailings are the classic cases.

Can we work offline?

Offline editing is possible and syncs when the connection returns.
