Zoho Projects brings structure to your project management: tasks, schedules, timesheets, budgets and team collaboration. Everyone knows what to do and by when, and management sees progress without chasing status updates.
Getting started
- Create your portal and invite your team members with the right roles.
- Create your first project and break it down into phases (milestones).
- Add task lists and tasks with owners and due dates.
- Turn on timesheets if you bill by the hour or track profitability.
- Set up the Gantt chart to visualize dependencies between tasks.
Key features
- Gantt charts and Kanban views.
- Billable and non-billable timesheets.
- Budget and cost tracking by project.
- Reusable project templates.
- Integration with Books (invoicing) and CRM (client projects).
Tips from our specialists
- Create a standard project template: you’ll save hours with every new engagement.
- Limit the number of task levels — too much nesting kills clarity.
- Timesheets filled in day by day are reliable; the ones done on Friday night rarely are.

The three mistakes we fix most often
- Tasks with no owner and no due date. A task nobody owns does not move. It is the most ordinary and most expensive flaw.
- No project templates. If your engagements look alike, rebuilding them by hand every time wastes hours and lets steps slip. A good template fixes both.
- Timesheets disconnected from billing. Entering hours twice, once for tracking and once for invoicing, guarantees one of them will be wrong.
What Zoho Projects changes once it is connected to the rest of Zoho One
The project stops being an island between the sale and the invoice.
- A deal won in Zoho CRM creates the project with its client and scope;
- Approved hours flow into billing in Zoho Books;
- Engagement documents live in Zoho WorkDrive, available to the team;
- Conversations happen in Zoho Cliq, attached to the project instead of scattered across inboxes.
Frequently asked questions
Do you need to be a certified project manager to use it?
No. We set up the view that fits your reality — a simple task list, a board or a Gantt chart — rather than imposing a methodology nobody asked for.
Can clients see progress?
Yes, through a client portal where you choose exactly what is visible. That alone often ends the status-update emails.
Does it replace our tracking spreadsheets?
That is the goal. As long as a parallel spreadsheet exists, it becomes the real source and the tool loses its purpose.
Need a hand
If the setup stalls, or if you would rather not do the work twice, the first meeting is a Zoom call, free and with no commitment.
