Zoho CRM guide

Zoho CRM centralizes your leads, customers and sales opportunities. No more tracking follow-ups in emails and spreadsheets: every interaction is logged, every follow-up can be automated and your pipeline becomes visible in real time.

Getting started

  1. Configure your organization (currency, time zone, fiscal year) in the settings.
  2. Customize the Leads, Contacts and Deals modules to match your business vocabulary.
  3. Import your existing contacts from a CSV file or another CRM.
  4. Define your sales pipeline stages to mirror your actual process.
  5. Create your first automation rules: lead assignment, follow-up emails, alerts.
  6. Connect your mailbox and calendar so everything is logged automatically.

Key features

  • Customizable sales pipelines by product or service type.
  • Workflow automations (follow-ups, tasks, notifications).
  • Zia, the built-in artificial intelligence assistant.
  • Real-time sales reports and dashboards.
  • Native integration with Books, Campaigns, Desk and the rest of the suite.

Tips from our specialists

  • Don’t rebuild your old mess: use the implementation as a chance to clean up your data.
  • Start with a simple pipeline (5–6 stages), then refine.
  • A few well-chosen required fields beat 40 empty ones.

The three mistakes we fix most often

  • A pipeline modelled on the tool instead of reality. The default stages rarely fit. A useful pipeline mirrors the decisions your customers actually make, not a theoretical progression nobody follows.
  • Too many required fields. Every mandatory field is one more reason not to enter the information. Three well-chosen fields produce better data than fifteen filled in carelessly.
  • No deduplication rules at import. Duplicates created on day one multiply for years. They have to be handled before the load, never after.

What Zoho CRM changes once it is connected to the rest of Zoho One

On its own, a CRM is a tidier address book. Connected to the other apps, it becomes the starting point for everything else.

  • An approved quote becomes an invoice in Zoho Books, with no re-entry;
  • The contract goes out for signature through Zoho Sign from the customer record;
  • The project is created in Zoho Projects as soon as the deal is won;
  • After-sales requests land in Zoho Desk with the sales history attached.

Frequently asked questions

How long does it take to get started with Zoho CRM?

A basic setup takes a few days. A CRM that genuinely reflects your sales process, with its automations and integrations, takes a few weeks. The difference is the analysis work, not the configuration.

Can we import our data from another CRM?

Yes. Salesforce, HubSpot, Pipedrive, Monday, CentrixOne or a spreadsheet: the method is the same, only the file preparation changes.

Is Zia included?

Zia features vary by Zoho CRM edition. We confirm what your subscription covers before building anything on top of it.
