Zoho Writer: Zia now builds your formulas from simple instructions

Automating a document is one thing. Automating a document that has to adapt to different situations, run calculations and display different information based on customer data is another.

Zoho just made that part much more accessible in Zoho Writer. Since its July 13, 2026 update, Writer includes a Zia-powered formula assistant that can create, fix and improve a formula from an instruction written in plain language.

For SMBs already using Writer to generate contracts, proposals, confirmations or other documents from Zoho CRM and their business data, this small addition could open the door to much more advanced automation.

Describe the result instead of writing the formula

Until now, building an advanced formula in a template meant understanding the logic and syntax needed to get the result you wanted.

With Zia’s new assistant, the approach changes: you describe what you want to accomplish and the AI suggests the matching formula. Zia can also analyze an existing formula, fix syntax issues or suggest improvements.

For example, a business might want to automatically apply a fee when a customer’s payment is more than a certain number of days late, change a piece of information based on the customer category, or calculate a different amount based on several criteria.

These aren’t necessarily spectacular automations. But they’re exactly the kind of small, repetitive tasks that, added together, eat up administrative teams’ time.

Much more dynamic documents

The update isn’t just about AI. Zoho Writer also adds 12 new text manipulation functions, along with IF / ELSE IF / ELSE conditional formulas in merge templates.

In practice, a single template can now adapt better to the information it receives.

A proposal could show a different section depending on the service selected. A contract could automatically display certain clauses based on the customer category. A confirmation could adjust its content based on the order type. A financial document could run a calculation before it’s even generated.

The benefit is significant: instead of multiplying nearly identical templates, you can centralize more logic in a single automated document.

AI gets truly interesting when it’s built into the process

The real value of this feature isn’t simply being able to ask an AI to write a formula.

It shows up when you combine Zoho Writer with the data and processes already in the Zoho ecosystem.

A form collects a piece of information. Zoho CRM records it. An automation triggers the creation of a document. Writer pulls the data, applies the right conditions and generates the right version of the document.

AI then makes it easier to build and evolve that logic instead of adding an extra step to the team’s work.

That’s exactly the kind of AI use that makes sense for an SMB: less artificial “wow” factor and more minutes saved every week.

Before you automate, you still need a well-defined process

Zia can speed up building a formula, but AI doesn’t replace careful thinking about the business process.

Which fields should feed the document? Which conditions should actually change its content? Which information should be required? What happens when a piece of data is missing or unusual?

A poorly defined automation just becomes an error that runs faster.

The right approach is to use AI as an accelerator, then test the different scenarios before deploying the template in a real process.
