Zoho CRM brings Kiosk Studio and Zia Agents together to automate without losing control

Artificial intelligence can analyze a situation, make a recommendation and carry out certain actions. A business process, on the other hand, must follow specific steps, approval rules and clearly defined responsibilities.

Zoho CRM now brings these two worlds together by letting you embed Zia Agents directly in flows built with Kiosk Studio. Businesses can tap into AI’s ability to analyze and act without handing over full control of their process.

What exactly is Kiosk Studio?

Kiosk Studio is a no-code customization tool built into Zoho CRM. It lets you create guided flows made up of screens, fields, decisions and actions.

Among other things, a Kiosk can pull data from multiple CRM modules, create or update records, trigger a custom function, call a webhook and show users only the information they need for the current step. Once built, the flow can be made available in different places within Zoho CRM.

For an SMB, this can help structure a task that usually involves several steps. For example:

  • qualifying a new inquiry;
  • preparing a quote;
  • getting a discount approved;
  • handling a service request;
  • following up after a customer conversation;
  • renewing a contract or policy;
  • creating multiple CRM records from a single guided form.

Instead of asking employees to remember every step and jump between modules, the Kiosk guides them from start to finish.

What Zia Agents add to the flow

A new component now lets you call a deployed Zia agent directly from the Kiosk Studio visual builder.

The Kiosk can pass the agent the information collected during the session. The agent then performs the analysis or action it was configured for and returns its results to the flow. Those results can be displayed on a screen, used in a decision or passed to another action in the same Kiosk.

The distinction matters. The Kiosk isn’t used to build the Zia agent. The agent is created, configured and deployed in Zia Agent Studio. The Kiosk then calls it at the right point in the process. Only deployed agents can be used; an agent still in draft mode won’t be available.

Zia Agent Studio lets you define the agent’s role and instructions, give it a knowledge base, grant it access to specific tools and set up guardrails. For example, a business can impose a discount limit or specific guidelines on the tone to use.

A real-world example: managing discount approvals

Zoho illustrates this integration with a discount recommendation process.

A sales rep opens the Kiosk from a deal in Zoho CRM. The flow shows a summary of the deal and asks for the information needed, such as whether there’s a competing offer.

A Zia agent then analyzes the deal and recommends a discount. Its response can include not only a percentage but also the factors that shaped its recommendation. The rep can accept the proposal or adjust it.

The Kiosk then takes back control. A small discount can be approved right away, while a larger reduction can be routed to the appropriate manager. A situation that doesn’t meet company rules can instead be blocked or sent back for review.

Once approved, another Zia agent can generate and send the quote. The entire process runs from a guided flow, without forcing the rep to look up information manually, figure out who the approver is or constantly switch between apps.

Why this approach makes sense for SMBs

Small teams often have to strike a tricky balance. They want to automate more, but they can’t afford a bad decision or a missed critical step.

Integrating Zia with Kiosk Studio can help maintain that balance.

Data quality also remains essential. An agent that has to analyze a deal won’t be able to make a very useful recommendation if amounts, activities, products or communications aren’t properly recorded in the CRM.

It’s generally best to start with a limited, measurable process. For example, a business can use the agent only to prepare a recommendation, while requiring an employee’s approval before any action is taken. It can then expand automation once the results have been validated.

According to Zoho, the Zia Agent component in Kiosk Studio is available to Kiosk users on Professional editions and above, provided Zia Agents is also enabled in an eligible edition.
