Zoho Sign is the e-signature app in the Zoho suite. It’s included in Zoho One at no extra license cost, and Nuagix has been configuring it for Quebec SMBs since 2019 as a Zoho Premium Partner. Most businesses that reach out to us are already paying for a separate e-signature subscription without realizing they have the equivalent in their suite.
What Zoho Sign actually does
- Sending and tracking — a document goes out for signature, each recipient gets their own link, and you see in real time who opened it, who signed and who’s lagging. Reminders go out on their own.
- Signing order — sequential when an internal approval must come before the client signs, or parallel when everyone can sign at the same time.
- Templates — your recurring contracts, mandates and agreements become templates with the fields already in place. A quote goes out in two clicks instead of fifteen minutes of formatting.
- Audit trail — identity, IP address, timestamp and every action taken on the document, stored with the signed file.
- In-person signing — handy for teams that collect signatures on site, tablet in hand, at the client’s location.
The real payoff: connecting signatures to the rest of your processes
A standalone signature app saves a few minutes. Connected to the rest of the suite, it transforms the entire process. Here are the workflows we set up most often for our Quebec clients.
- With Zoho CRM — the quote goes out for signature straight from the deal, prefilled with the client’s data. Once signed, the deal moves to the next stage and follow-up kicks in.
- With Zoho Books — the signed contract generates the invoice, with GST and QST calculated correctly, no re-entry required.
- With Zoho People — job offers, employment contracts and internal policies signed and filed in the employee’s record.
- With Zoho Forms and Creator — a form filled out by the client generates the document, which is then sent out for signature automatically.
Legal validity in Quebec
In Quebec, the Act to establish a legal framework for information technology makes a technology-based document equivalent to a paper document when its integrity is ensured throughout its life cycle. Zoho Sign’s audit trail is designed precisely to document that integrity. We also configure the hosting of your documents in Zoho’s Canadian data centers and set up access management in line with Quebec’s Law 25. Some acts remain subject to specific requirements, particularly notarial acts: those cases should be validated with your legal advisor, not your integrator.
How we get started
- A free 30-minute Zoom meeting to see which documents move through your business and where time is being lost.
- A written plan within 48 business hours: scope, timeline and budget.
- Setting up templates and workflows with the rest of your Zoho suite.

Frequently asked questions
Is a Zoho Sign signature valid in Quebec?
Yes. In Quebec, the Act to establish a legal framework for information technology recognizes a technology-based document as equivalent to a paper document when its integrity is ensured, and the Canada Evidence Act takes the same approach federally. Zoho Sign produces a timestamped audit trail that records the signer’s identity, IP address, time and every action taken on the document. Some acts remain subject to specific requirements, particularly notarial acts: validate those specific cases with your legal advisor.
Is Zoho Sign included in Zoho One?
Yes. Zoho Sign is one of the 45+ apps included in the Zoho One subscription, at no extra license cost. If you already pay for Zoho One, you have e-signatures without knowing it — it’s one of the redundancies we eliminate most often during an optimization, replacing a DocuSign or similar subscription.
Can I send a contract for signature directly from the CRM?
Yes, and that’s where the tool really pays off. From a deal in Zoho CRM, the quote goes out for signature with the fields already filled in from the client record. Once signed, the deal automatically moves to the next stage and the invoice can be generated in Zoho Books. No more re-entering data or back-and-forth emails.
Does the data stay in Canada?
Zoho operates data centers in Montreal and Toronto. During implementation, we configure your environment so your documents and personal data reside there, and we set up access and consent management according to your obligations under Quebec’s Law 25.
How is it different from Zoho Writer or a hand-signed PDF?
A PDF signed by hand and then scanned carries no proof of integrity: nothing shows the document wasn’t changed afterward, or who actually signed it. Zoho Sign seals the document, logs every action and lets you verify integrity after the fact. It’s the difference between a picture of a signature and a legally enforceable signature.
How long does setup take?
The basic configuration takes a few hours: templates, fields, signing order, automatic reminders. What takes time is connecting Zoho Sign to the rest of your processes — CRM, invoicing, client files — so that signing triggers the right next steps instead of being an isolated step.
